HRtrax-Web History & Calendar
|
HRtrax History and Calendar components provide you with a view of
past and future transactions within a single employee database.
History records are built with each transaction and allow you to view
point-in-time history for any employee record. In addition, the
history stack provides a quick summary of an employee's status and
placement records in reverse chronological order. HRtrax keeps
a detailed audit trail of every employee transaction which may be viewed or
reported for easy reference.
At the other end of the time-line are those events that are scheduled to
happen in the future. For these events the Calendar component can
be used to pre-enter any number of future events with control over
effective dates and data content. This can help add flexibility to
your work schedule by allowing you to complete some tasks at a more
convenient time. These features make your human resource system
more powerful by accumulating information from different points in time
into a single system for easy and consistent reference.

History Views
|
|
HRtrax automatically builds
point-in-time history records for all critical employee events. These
history records are represented as companion entries to the employee's
current record and can often be viewed using the same screens for
display. While in history display mode, standard navigation methods
allow you to page backward and forward through time. The amount of
history that can be maintained within HRtrax is limited only be the
amount disk space available on the shared network - which in
today's environment effectively means there are no practical limits on
the amount of history you can maintain.
|
History Stack
|
|
In addition to the basic History Display, HRtrax also maintains a
linear History
Stack that contains a quick display summary of changes made for a single employee
on two easy to read tabbed displays. This history stack
allows you to review critical events by date, and allows for drilling back through
time. Rather than thumbing through seemingly endless piles of
paper records, your entire employee history is simply a mouse click
away. We believe this is the fastest way to reference Historical information for your employee records.
|
Audit Records
|
|
In addition to standard history records,
HRtrax keeps a complete audit trail of each employee transaction made within the
system. These audit records capture the time, date, and user id,
as well as the old and new values of each data element that was added or
updated. Detailed audit reports allow you to list these
transactions by user id, location, transaction date, or employee id.
Additional selections are offered to narrow or refine the listing even further.
|
Calendar Events
|
|
Calendar events give you a tremendous
amount of flexibility and control over when an employee related addition
or change will be applied. You may schedule a future transaction for
employee masters, benefits, earnings/deductions, or LOA/Termination.
In addition, you can change the same
field for the same employee, even more than once - simply use a
different apply date. There is no practical limit on the number of
additions or changes you may have calendared and scheduled to apply
in the future.
|
Calendar Review
|
|
Review pending calendar events at any
time by running the calendar events report function. This report
displays all calendar events by employee for any date range you desire.
Or, use the calendar events entry screen to view scheduled events one-by-one for a
specific employee. Add, edit or delete events altogether when
necessary. With HRtrax you have the tools you need to better manage
employee related future events.
|
Agent Functions
|
|
As a compliment to Calendar Events, Agent Functions may be setup to
seek out certain future events to occur
within the HRtrax system. When setup, the Agent will notify
the user that an event will occur in the near future so they can evaluate the current situation
and take the appropriate action. These notifications
become an important
tool in helping you stay informed about upcoming events such as expirations
or due dates. For example, you can setup an Agent to notify
you 20 days in advance of an employee's license expiration, or 10 days
in advance of their annual review, etc...
