What are the system requirements for installing and running HRtrax?
We have designed HRtrax to be compatible with the most commonly configured systems available today.  We utilize the best of Microsoft's technology to ensure low cost of ownership and continuing compatibility with future advancements in PC based systems. Our system requirements are intended to be used as basic guidelines, actual requirements may vary depending upon application configuration and your network environment.

What do we need to do to setup another PC to run HRtrax?
Each PC that is to have access to HRtrax will only need a desktop icon or short-cut that points to the HRtrax.exe program file within the HRtrax directory.  For example if HRtrax resides on the network K: drive within the \APPS directory the short-cut command line would read:
K:\APPS\HRTRAX\HRTRAX.EXE
Note that the network drive mapping for the HRtrax directory must be the same for each PC that is to have access to HRtrax.

How many users can access HRtrax at the same time?
HRtrax is available in two user-level versions; Solo and Enterprise.  Our Solo or single-user version is limited to one user access at a time.  With our Enterprise or multi-user version there is no practical limit on the number of users that can access HRtrax at the same time.  There is an upgrade to the Enterprise multi-user version available for those on the Solo version.  Please contact your HRtrax representative for specifics on how to order this upgrade.

How many Companies can we setup within HRtrax?
HRtrax comes standard with the capability to manage 5 companies.  Upgrades are available that increase the company count with greater employee service levels.  Contact your HRtrax representative for information on increasing company count when necessary.

How many Employees can we maintain within HRtrax?
HRtrax is delivered with various employees-on-file configurations.  With the unlimited configuration, there is no practical limit to the number of employees that may be on file. Other options include:
up to 150 employee on file
up to 300 employees on file
up to 500 employees on file
up to 1000 employees on file
and the unlimited employee version

How do I add and/or change a user's security access to HRtrax?
Setup user access to HRtrax by selecting File > User Security Setup from the menu bar at the top of the main application screen.  This will display the HRtrax security setup screen.  This screen contains eight tabs that control access rights to over 200 screens, tables, reports and HRtrax functions.  Use this screen to setup the User ID and Password for each user that is to have access to the HRtrax application.  Rights may be granted with Full access, View Only access, or No access at all.  Where it makes sense, each users rights may be further tailored to hide certain fields when the user is assigned the View Only mode.  Note that each user should have their own User ID and Password.

What are the functions assigned to each of the function keys?
HRtrax makes use of certain function and short-cut key combinations to provide specific features that are helpful during normal system use.  The following is a summary of the functionality assigned to each function and/or key combination.

What periodic file maintenance is recommended?
In an effort to keep HRtrax and your system running with good response times, we recommend that you perform the following file maintenance procedure every 4 to 6 weeks:
Re-Index HRtrax Data Files
This procedure can be run by selecting File > Maintenance > Reindex HRtrax Data Files, from the menu bar at the top of the main application screen.  Generally, this re-index procedure will take only a few minutes to complete and requires no more effort than making sure all users are logged off the HRtrax system before it is started.  Even though the system automatically maintains indexes, your system's response times will benefit from a procedure that will periodically re-index the entire database in a single process.

CAUTION:  This re-index procedure must only be run when no other users are signed-on to HRtrax.  Make sure everyone is completely out of the HRtrax system, this means users should not even be sitting at the HRtrax sign-on or splash screen. Once this re-index procedure is started, no users will be allowed access to HRtrax until this job has completed.
